We’re completely beside ourselves with the SharePoint Virtual Summit and Las Vegas Conference this month and the updates are absolutely awesome.
We will be doing another post on that shortly BUT in the meantime, check-out what else has happened over the past month!
Increased Size Limit for SharePoint
How exciting is THIS?! Rolling out from 1st July this year, there will be a 20% increase in the SharePoint Online per user license storage allocation. This will increase to 1 TB plus 10 GB per user license purchased, up from 1 TB plus .5 GB per user license purchased. This increase will be for ALL Office365 services that use SharePoint, including Microsoft Teams and Groups. Unfortunately, SharePoint online kiosk plans, including Office 365 F1 and Microsoft 365 F1 aren’t included. You’ll be able to see the increased storage in your SharePoint Online admin centre. Unfortunately, SharePoint online kiosk plans, including Office 365 F1 and Microsoft 365 F1 aren’t included.
See an example of the increased storage allocation below.
|100 user licenses||5000 user licenses||100,000 user licenses|
|Base tenant allocation||1 TB||1 TB||1 TB|
|Per user license allocation||1 TB (100 * 10 GB)||50 TB (5000 * 10 GB)||1000 TB (100,000 * 10 GB)|

SharePoint App Improvements
This is a lifesaver for when you need to quickly engage. You know, when you just need to pop in and get out. So, if you haven’t installed this App on your phone already, stop reading and download it now! We promise you won’t regret it!
The SharePoint app has been updated to give you full access to the hub site and all its associated sites. You now get the full cross-site navigation, along with visibility across aggregated activities, news, files and lists, and more.
That’s not all! The SharePoint App also gives you enhanced access to the team site homepage. If you’re accessing the mobile App from an Android phone, your activity, news, files and lists are now accessible from within a new team site navigation menu.
Thanks to the SharePoint App, you can now also be notified when someone leaves a comment on your news article. This means you’ve got your finger on the pulse of activities and discussions and can ensure you’re across all engagement.
And especially for Android users, there is now a new tab layout with your personalised News, Sites, Links, People and Me tabs at the bottom of your screen.

Flow | ‘Request Sign Off’ for your Documents
Now there is an easy way to send an item for approval (YAY!). This new feature in SharePoint, Request sign-off enables an open approval process AND no set up is required.
Start by selecting a file or list item (not a folder though) and selecting Request sign-off from the Flow tab menu. This will create a new text column in your library called Sign-off status and will record the state of your request.
From here, you’ll be prompted to approve a request, which is sent on your behalf. You can customise by adding more than one approver (with multiple, any approver can approve the request) and write a message.
This is sent to your approver/s as an actionable message (meaning they can approve from Outlook!). And finally, you’re Sign-off status column is updated and you will receive an email with any comments made by the approver.

Forms Are now ENTERPRISE READY!
We’ve been a big fan of MS Forms for a while now and we’re happy to say, Microsoft Forms, a simple app for creating surveys, quizzes and polls, is now available to all Office 365 commercial customers! No more Preview label!
How will Microsoft Forms benefit you? Microsoft sums it up nicely:
With Microsoft Forms, your employees can easily solicit client input, measure customer satisfaction, and organize team events, within minutes. The app is simple to use and works on any web browser, so it can be accessed from anywhere, anytime. With real time responses and automatic charts built in, Microsoft Forms makes it easy to understand the data right away. And for companies that want to custom brand their surveys, Forms supports the addition of themes, logo, and images. We also know that many users work in teams, so users can collaborate on a single form. Forms can be used within applications you know and love, such as Excel, SharePoint, Teams, Flow, and Sway.
BIG UPDATE RE: MORE file type browser previews!
Microsoft has done it again! Improving the file viewing technology for OneDrive, SharePoint and Teams as over 300 file types are now supported. This enables users to get high-fidelity previews and thumbnail images for Adobe formats, like Photoshop and Illustrator, 3D files or DICOM medical images without actually installing the native application. What a time saver!
For a list of all file types currently supported for web previewing and thumbnails via Files On-Demand, please see the full article HERE
GENERAL UPDATES AND INFORMATION
Understanding Phishing Scams
Phishing (pronounced like fishing), or online fraud, is a technique used by criminals to lure you into disclosing personal information. Warning signs include being asked to provide personal information to an unknown source, verifying account information with a threat of suspending the account, a “too good to be true” promise or request for direct monetary donations.
Other things to look out for include requesting personal information via email, urgent working, and fake or suspicious links.
So, now that you know what to look for, here are some other ways to help protect yourself. Firstly by learning more about Phishing scams and educating yourself on what to look for is a great way to become more aware of scams. Monitoring your bank transactions and statements is a great way to be aware of suspicious transactions and using credit cards for internet transactions helps to limit your personal liability. Other things to keep in mind is to never reply to email messages that request your personal information, don’t click links in suspicious emails and don’t send personal information in a regular email message.
If you suspect you’ve received a suspicious email, send the email as an attachment (remember not to open the email).

Data Retention – Teams
We love Teams but there is a bit we need to understand about information, using this application.
Microsoft Teams retention policies are now available in Office 365 security and compliance center. Team admins can use the Office 365 security and compliance centre to set retention policies for Teams.
With a team retention policy, you can decide what content to retain or delete, target the entire organisation with location rows and target specific users and specific Teams, and use retention policies with the SharePoint & OneDrive location row to address the Files in Teams.
So, how does it work?
The Microsoft team explains:
For Teams chat and channel messages, a copy (that the Teams clients work off of) is stored in the Azure powered chat service and a separate copy is stored (archived) in Exchange online mailboxes (both user and group).
Did you know you can convert Classic Sites into O365 Groups and Team Sites?
As part of the Ignite rollout to provide you with the ability to connect existing SharePoint team sieges to new Office 365 Groups, the first part of this feature is now available. Tenant admins can now connect existing SharePoint Online classic team sites to new groups!
There is a little bit of technical knowledge and process involved in this one, SO if you’re interested to do this or know more – Get in touch with us! [email protected]
